What Tana is
Tana is a personal media journal for tracking books, movies, and TV shows. You can use it as a guest with no account, or sign in with Apple or Google to sync your library across devices.
Data you provide
Account info (optional). If you sign in with Apple or Google, we receive your name and email address from your sign-in provider. This information is only used to display your account details within the app — it is never shared with any third party. Apple lets you hide your email, and we respect that choice. If you don't sign in, no personal information is collected at all.
Your library. The media items you add and edit — titles, authors, ratings, dates, progress notes, and status. This is the core of the app and is stored on your device and, if you're signed in, in the cloud. Your library data is never shared with anyone.
Search queries. When you search for a book, movie, or TV show, the text you type is sent through our server to TMDB or Google Books to fetch results. Only the search text is forwarded — no account information or personal data is included. We don't log or store these queries.
Preferences. Settings you configure in the app — category toggles, colors, and language choice. These stay on your device and in your private cloud account.
Data we do not collect
Tana does not access or collect:
- Your location
- Your contacts, photos, or camera
- Health or fitness data
- Financial information
- Advertising identifiers
- Browsing activity outside the app
How your data is stored
On your device. Your library and settings are always saved locally on your device. The app works fully offline.
In the cloud (if signed in). When you sign in, your data syncs to Google Firebase (Firestore). Your data is isolated to your account — no one else can access it. Firestore encrypts data at rest and all communication happens over encrypted connections (TLS).
Cover images. Book covers and movie posters from search results are cached on Cloudflare's CDN for reliable loading. These are public media images, not personal data.
Retention. Your data is kept for as long as your account exists. If you delete items or your entire library, that data is removed immediately and permanently. If you sign out, your local data is cleared. You can also contact us to request deletion of your cloud data.
Third-party services
We use a small number of services to make Tana work. All services are bound by their own privacy policies and are required to protect user data.
- Firebase (Google) — Account sign-in and cloud storage. Your account info and library data are stored here, under your private account.
- TMDB — Movie and TV search results. Receives search text and language only.
- Google Books — Book search results. Receives search text and language only.
- Cloudflare — Hosts our backend server and caches cover images. Search queries pass through but are not logged or stored.
- Sentry — Crash and error reporting. See below.
Your device never connects to TMDB or Google Books directly — all searches go through our own server, and no personal identifiers are included in the requests.
Error reporting
We use Sentry to detect and fix crashes. When an error occurs, Sentry receives:
- The error itself (stack trace, error message)
- Basic device info (operating system, app version)
- An anonymous user ID (not your name or email)
Personal information collection is explicitly disabled in our Sentry configuration. We don't use performance monitoring or session replay.
Analytics and advertising
We don't run analytics. Firebase Analytics is disabled.
We don't show ads. There are no advertising SDKs in the app and no advertising identifiers are collected.
We don't sell your data. We do not sell, trade, or otherwise transfer your personal data to any third party.
We don't track you across apps or websites. There is no cross-app tracking of any kind.
Your choices
Use without an account. You can use Tana entirely as a guest. Your data stays on your device and is never sent to the cloud.
Delete individual items. You can delete any item from your library at any time. Deletions are immediate and permanent — the item is removed from both your device and the cloud.
Delete all data. In Settings, you can delete your entire library at once. This removes all items from your device and from Firebase.
Delete your account. To delete your account and all associated data, contact us using the information below. We will remove your account and all stored data from our systems.
Sign out. Signing out clears your local data and disconnects cloud sync. You can continue using the app as a guest.
Revoke consent. You can withdraw consent to cloud data storage at any time by signing out or deleting your data. You can also stop using the app entirely — we will never contact you or use your data for any purpose beyond what is described here.
Data security
All network communication uses HTTPS encryption. Your cloud data in Firebase is encrypted at rest and protected by security rules that ensure only you can access your own data. API keys for third-party services are stored securely on our server and are never exposed to your device.
Children's privacy
Tana is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it.
Changes to this policy
If we make meaningful changes to this policy, we'll update the "Last updated" date at the top. We encourage you to review this page periodically.
